Terms and Conditions
1. Driver Eligibility
- Drivers must be aged between 25 and 75.
- A full UK driving licence must be held for a minimum of 2 years.
- Two forms of proof of address dated within the last 90 days are required (for example, utility bills).
- A valid passport or photo ID must be presented at collection.
- Only named and approved drivers are permitted to drive the vehicle.
2. Payments, Deposits and Charges
- A security deposit (typically £200 to £300) is payable at collection.
- The deposit will be refunded once the vehicle is returned on time, clean and without damage.
- The full hire fee must be paid at least 14 days before the hire date.
- Mileage allowances apply (for example, 200 miles per day). Excess mileage will be charged.
- The vehicle must be returned with the same fuel level as at collection. Any shortfall will be charged.
3. Insurance and Liability
- Fully comprehensive insurance is included for approved drivers.
- The hirer is responsible for the insurance excess in the event of any damage.
- Insurance does not cover:
- Interior damage caused by horses
- Negligence, misuse or off road driving
- Damage caused by unauthorised drivers
- The hirer is responsible for any damage caused to the vehicle, both inside and outside, including damage caused by horses.
- Breakdown cover and equine recovery are included.
- Any accidents, damage or mechanical issues must be reported immediately.
4. Vehicle Use and Responsibilities
- The vehicle must only be used for transporting horses and related equipment.
- A maximum of two horses is permitted, within the manufacturer’s weight limits.
- The hirer must ensure all horses are fit to travel and comply with welfare regulations.
- The vehicle must be locked when unattended and all security devices used.
- Smoking, vaping and illegal substances are not permitted in the vehicle.
- No towing, modifications or commercial use is allowed unless agreed in writing.
5. Condition, Cleanliness and Return
- A joint inspection will be carried out at collection.
- The hirer must return the horsebox:
- Clean inside, including the horse area
- Free from damage
- With all equipment present
- On time, as agreed
- Cleaning charges will apply if the vehicle is returned in an unclean condition.
- Late returns may result in additional charges and could invalidate insurance if significantly overdue.
6. Weight, Loading and Safety
- The hirer is responsible for ensuring the vehicle payload is not exceeded.
- Horses must be loaded, secured and unloaded safely using the provided fittings.
- The hirer must check the following before each journey:
- Tyres
- Lights
- Ramp
- Partitions
- Ventilation
- The vehicle must not be driven if any safety issue is identified.
7. Prohibited Uses
- Transporting animals other than horses without written permission.
- Carrying more horses than the vehicle is designed for.
- Allowing anyone other than approved drivers to drive.
- Using the vehicle for racing, timed events or off road use.
8. Breakdown, Accidents and Emergencies
- In the event of a breakdown, the hirer must contact the provided emergency number.
- Horses must remain in the vehicle unless instructed otherwise by emergency or recovery services.
- In the event of an accident, the hirer must:
- Obtain details of all parties involved
- Take photographs where possible
- Notify the hire company immediately
- Not admit liability at the scene
9. Cancellation and Refunds
- Cancellations made more than 14 days before the hire date may receive a partial refund.
- Cancellations within 14 days are non refundable unless the booking is re hired.
- No refund is given for early return of the vehicle.
10. Hirer Responsibilities
- The hirer is responsible for all fines, penalties, tolls and parking charges.
- The hirer must comply with all road traffic laws and animal welfare regulations.
- The hire company reserves the right to recover costs for:
- Damage
- Cleaning
- Late return
- Misuse
- Insurance excess
- Recovery of unpaid charges
